With the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Release 8.0 integration, you can provide IBM Lotus Sametime users with integrated web and audio conferencing capabilities. The IBM Lotus Sametime infrastructure provides the web portion of the meeting, and Cisco Unified MeetingPlace serves as the audio bridge. Users schedule and attend meetings from the IBM Lotus Sametime meeting center, and the IBM Lotus Sametime meeting room provides the integrated roster and in-session controls.


With this integration, an IBM Lotus Sametime Connect client can start an instant meeting. Invitees who receive the meeting invitation can join the meeting in the IBM Lotus Sametime web meeting room and receive audio through Cisco Unified MeetingPlace.

Deployment Restrictions

  • IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace supports up to 100 simultaneous audio and web users.
  • Cisco Unified MeetingPlace does not support clustered IBM Lotus Sametime Server deployments.
  • You must deploy the IBM Lotus Sametime Server within the intranet.
  • The IBM Lotus Notes for Cisco Unified MeetingPlace calendar integration, which is a separate integration from this one, also enables users to launch an IBM Lotus Sametime web meeting. However, integrated audio controls are not available in that integration because of an IBM Lotus Notes limitation.


Recording Restrictions

  • To play recordings of the audio portion of the meeting, you must have a Cisco Unified MeetingPlace Web Server.
If you do not have a Web Server, disable recording privileges for all users by setting the "Can Record Meetings" parameter to No in the Cisco Unified MeetingPlace Administration Center. To access that parameter, select User Configuration > User Groups > Edit User Groups and navigate to the Permissions section.
  • IBM Lotus Sametime web recordings and Cisco Unified MeetingPlace audio recordings are not synchronized or combined, but you can record both the audio and the web portions of the meeting if you configure the Cisco Unified MeetingPlace system to support recordings. Make sure that you have the appropriate number of voiceconf licenses because the system uses voice ports when recording an audio meeting.

Scheduling Restrictions

  • Do not use the Cisco Unified MeetingPlace Conference Manager to reschedule or cancel a meeting that was scheduled from IBM Lotus Sametime Web Conferencing because that will only affect the audio portion of the meeting.
  • The maximum number of days to schedule a meeting in advance is not limited by IBM Lotus Sametime. However, Cisco Unified MeetingPlace limits this setting to 729 days. You must configure the settings to the same value on both servers. See the Synchronizing the Early Meeting Start and the Maximum Advance Days Parameters to Schedule Settings.
  • When the audio portion of the meeting on Cisco Unified MeetingPlace ends, the web portion of the meeting does not end on the IBM Lotus Sametime Server. However, when the web portion of the meeting ends, the audio portion automatically ends.


Password Restrictions

  • If you schedule a meeting with a password, the password is applied to the IBM Lotus Sametime portion of the meeting only. The Cisco Unified MeetingPlace audio meeting is not password protected.

2 How to Install the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration


Installing the IBM Lotus Domino Server

These installation steps are a supplement to the standard procedures provided by IBM for the IBM Lotus Domino Server and IBM Lotus Sametime Server deployments. Follow the instructions on the IBM web site, making sure to incorporate the steps in this integration note to ensure that the system is compatible for the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace integration.


Restriction

You must install the IBM Lotus Domino Server as a stand-alone server.


Before You Begin


Procedure
  1. For IBM Lotus Sametime Server Release 7.5.1 Cumulative Fix (CF) 1:
    1. Install the IBM Lotus Domino Server by following the instructions here: http://publib.boulder.ibm.com/infocenter/sametime/v7r5m1/index.jsp
    2. Apply this hotfix: http://www.ibm.com/support/docview.wss?rs=899&uid=swg21285097
  2. For IBM Lotus Sametime Server Release Version 8.0.1:
    1. Install the IBM Lotus Domino Server by following the instructions here: http://publib.boulder.ibm.com/infocenter/sametime/v8r0/index.jsp
  3. Verify that you have access to the IBM Lotus Domino Server by pointing your browser to http://hostname.<your_company_name>.com/names.nsf.

Installing the IBM Lotus Sametime Server

These installation steps are a supplement to the standard procedures provided by IBM for the IBM Lotus Domino Server and IBM Lotus Sametime Server deployments. Follow the instructions on the IBM web site, making sure to incorporate the steps in this integration note to ensure that the system is compatible for the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace integration.


Before You Begin

Shut down the IBM Lotus Domino Server.


Procedure
  1. Run the IBM Lotus Sametime Server installer, available from IBM.
    Make sure that you are using an IBM Lotus Sametime Server installation package that contains the IBM Lotus Sametime Web Conferencing components.
  2. Follow these steps if you use the Cisco MCS operating system on a Cisco MCS and receive an error on the Finish screen:
    1. Open a command prompt.
    2. Change to this directory: C:\Programs\Lotus\Domino
    3. Run stsetup.exe.
    4. Restart the IBM Lotus Domino Server.

Configuring the IBM Lotus Domino Server for LDAP Authentication

If you use LDAP authentication, you must set up the LDAP server settings on the IBM Lotus Domino Server to work with Cisco Unified MeetingPlace. Doing so will enable certain features (such as the ability to end a meeting, mute participants, or lock a meeting) to be available to the meeting scheduler.


Procedure
  1. Configure the LDAP directory server on the IBM Lotus Domino Server. For details, see http://publib.boulder.ibm.com/infocenter/sametime/v8r0/index.jsp?topic=/com.ibm.help.sametime.standard.doc/st_adm_ldap_dir_considerations_c.html.
  2. In the Directory Assistance file, called da.nsf, find the parameter called "Attribute To Be Used as Notes Distinguished Name".
  3. In the Sametime Configuration file, called stconfig.nsf, find the LDAP server schema parameter called "People (the attribute of the person entry that defines the internal ID of a Sametime user)".
  4. Make sure that both of these parameters have the same value.

Configuring the IBM Lotus Sametime Server for Audio

Before You Begin

If you have McAfee VirusScan running on the IBM Lotus Sametime Server, a port conflict might occur. To change the default port number of 8081 to 8085, do the following:

  • Select Connectivity > Meeting Services Network.
  • Enter 8085 for Address for Client Connections and for Address for HTTP Tunneled Client Connections.
  • Select Update when you are done.

Procedure
  1. Navigate to http://hostname.<your_company_name>.com.
  2. Sign in as the administrator.
  3. Select Administer the server.
  4. Configure the default policy:
    1. Select Policy > Sametime Default Policy.
    2. Deselect Must set this server community as the default server community.
    3. (Sametime server 8.0.2) For Allow telephony, select Instant meetings only.
    4. Select OK.
  5. Configure audio settings:
    1. Select Configuration > Audio/Video.
    2. Deselect Allow people to choose Sametime IP Audio (in addition to or instead of telephone) in meetings.
    3. Select Update.
  6. Configure meeting services:
    1. Select Configuration > Meeting Services.
    2. Enter 0 for the "Maximum Number of Times to Automatically Extend Meetings Beyond Scheduled End Time When There Are Still People in the Meeting" parameter.
    3. Select Allow people to schedule a telephone conference call for a web conference. A telephony service provider is required for the "When People Start an Instant Meeting or Schedule a Meeting" parameter.
  7. Restart the IBM Lotus Sametime Server.


Testing the IBM Lotus Sametime Server Web Conferencing Capability

This procedure tests that you can successfully launch the IBM Lotus Sametime meeting room.


Procedure
  1. Verify that you have access to the IBM Lotus Sametime Server by navigating to http://domino_host.<your_company_name>.com/stconf.nsf.
  2. Select Test Meeting.


Installing and Configuring the Cisco Unified MeetingPlace Application Server

Procedure
  1. Install the Cisco Unified MeetingPlace Application Server by following the instructions in the Installation and Upgrade Guide for Cisco Unified MeetingPlace Release 8.0 at http://www.cisco.com/en/US/products/sw/ps5664/ps5669/prod_installation_guides_list.html
  2. Configure the Cisco Unified MeetingPlace Application Server by following the instructions in the Configuration Guide for Cisco Unified MeetingPlace Release 8.0 at http://www.cisco.com/en/US/products/sw/ps5664/ps5669/products_installation_and_configuration_guides_list.html
  3. Populate the user repository by either manually creating it or by using an LDAP server. We recommend using an LDAP server.
  4. If you manually created the user repository, check that the values for the User Name fields on the IBM Lotus Sametime Server match the values for the User ID fields in Cisco Unified MeetingPlace.


Installing the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration

The IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace installation program is part of the Cisco Unified MeetingPlace Application Server software.


Before You Begin

Install the IBM Lotus Domino Server, IBM Lotus Sametime Server, and Cisco Unified MeetingPlace Application Server.


Procedure
  1. Sign in to the Cisco Unified MeetingPlace Administration Center from the IBM Lotus Sametime Server.
  2. Select System Configuration > Sametime Configuration.
  3. Select Download Cisco Unified MeetingPlace for IBM Lotus Sametime Web Conferencing Installer to download the installation program to the IBM Lotus Sametime Server.
  4. Stop the IBM Lotus Sametime Server.
  5. Double-click the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace installation program to install it.
  6. Select Run at the security window, if it appears.
  7. Start the IBM Lotus Sametime Server.


3 Configuring the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration


Setting Permissions for Users to Enable Users to Dial Out

Before You Begin

Sign in to the Cisco Unified MeetingPlace Administration Center.


Procedure
  1. Select User Configuration > User Groups.
  2. Select Edit on the line next to the group that you want to edit.
  3. Set the "Can dial out (does not apply for Cisco WebEx meetings)" parameter to Yes.
  4. (Recommended) Set the "Who may skip password" parameter to Invited users with Cisco Unified MeetingPlace profiles only. This will disable the password requirement so that users do not have to enter their passwords every time the phone rings.
  5. Select Save.
  6. Ensure that the "Meeting password required" parameter is set to No for all Cisco Unified MeetingPlace user profiles, including the special admin profile. (Changing this option to Yes prevents users from scheduling meetings.)


Setting the IBM Lotus Sametime Server Hostname

Before You Begin
  • Ensure that the IBM Lotus Sametime Server is up and running so that when you specify the hostname, the connection between the servers will be successful.
  • Sign in to the Cisco Unified MeetingPlace Administration Center.


Procedure
  1. Select System Configuration > Sametime Configuration > Sametime Server.
  2. Enter the hostname of the IBM Lotus Sametime Server.
  3. Select Save.


About Synchronizing Parameters for the Audio and Web Portions of the Meeting

Because the audio portion of the meeting is controlled by Cisco Unified MeetingPlace and the web portion of the meeting is controlled by IBM Lotus Sametime, meeting parameters are not automatically synchronized. You must manually synchronize the values to ensure a consistent user experience.

Synchronizing the Meeting Extension Parameters

This procedure describes how to set the "Extend meeting (minutes)" parameter on the Cisco Unified MeetingPlace Application Server and the "Meeting Extension Length (Minutes)" parameter on the IBM Lotus Sametime Server to the same value.


Procedure
  1. Sign in to the IBM Lotus Sametime Server as an administrator.
  2. Select Administer the Server.
  3. Select Configuration > Meeting Services and then select the General tab.
  4. Note the value of the "Meeting Extension Length (Minutes)" parameter.
  5. Sign in to the Cisco Unified MeetingPlace Administration Center.
  6. Select System Configuration > Meeting Configuration.
  7. Set the "Extend meeting (minutes)" parameter to the same value as the "Meeting Extension Length (Minutes)" parameter on the IBM Lotus Sametime Server.
  8. Select Save.


Synchronizing the Early Meeting Start and the Maximum Advance Days Parameters to Schedule Settings

This procedure describes how to synchronize the values for the "Early meeting start (minutes)" and "Maximum advance days to schedule" parameters on the Cisco Unified MeetingPlace Application Server with the values on the IBM Lotus Sametime Server.


Procedure
  1. Set the values on the Cisco Unified MeetingPlace Application Server:
    1. Sign in to the Cisco Unified MeetingPlace Administration Center.
    2. Select System Configuration > Meeting Configuration.
    3. Set the "Early meeting start (minutes)" and "Maximum advance days to schedule" parameters.
    4. Select Save.
  2. Modify the Sametime.ini file on the IBM Lotus Sametime Server:
    1. Go to the default installation location (C:\Program Files\IBM\Lotus\Domino).
    2. Open the Sametime.ini file.
    3. Find the [Config] section.
    4. Add the MeetingStartEarlyMinutes parameter (if it does not exist), and set it to the value that you configured for the "Early meeting start (minutes)" parameter in Cisco Unified MeetingPlace.
    5. Save and close the file.
  3. Modify the Notes.ini file on the IBM Lotus Sametime Server:
    1. Open the Notes.ini file.
    2. Search for the STScheduleLimitDays parameter.
    3. If it does not exist, add it to the end of the file, and set it to the value that you configured for the "Maximum advance days to schedule" parameter in Cisco Unified MeetingPlace.
      Note: This setting also applies to repeating meetings. You cannot schedule repeating meetings past the number of days specified.
    4. Save and close the file.
  4. Restart the IBM Lotus Sametime Server to enable these settings.


Setting the Notification Time Display for IBM Lotus Sametime Chat Clients

When an IBM Lotus Sametime Connect user sets up an instant meeting, the invited user receives a pop-up notification to join or decline the meeting. The notification is sent only once when the user initiates the instant meeting. By default, this pop-up notification appears for only 10 seconds and then disappears. A user who misses the pop-up notification cannot redisplay it and cannot join the instant meeting.


To avoid this, instruct end users to uncheck the Close Alerts Automatically After the Following Number of Seconds checkbox for instant meeting events within their IBM Lotus Sametime client. 4 Testing the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration

Follow the steps in this procedure to test that the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration works properly.


Procedure
  1. Sign in to the IBM Lotus Sametime Server by using one of the user profiles that you created earlier. See the Setting Permissions for Users to Enable Users to Dial Out.
  2. Select Schedule a Meeting.
  3. Select the Make Sure to Use the Phone Number Provided by My Telephone Service option.
  4. Fill in the meeting name and time.
  5. Select Save.
  6. Verify that you can join the meeting that you just scheduled.
  7. Test the outdial functionality and make sure that it works correctly.


5 Uninstalling the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration

Procedure
  1. Stop the IBM Lotus Sametime Server.
  2. Select Start > Control Panel > Add or Remove Programs.
  3. Select the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace integration.
  4. Select Change/Remove to remove it.
  5. Restart the IBM Lotus Sametime Server service if you want to use it without Cisco Unified MeetingPlace.


6 Upgrading the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace Integration from Release 7.0 to Release 8.0

To upgrade from the IBM Lotus Sametime Web Conferencing for Cisco Unified MeetingPlace integration for Release 7.0 to the integration for Release 8.0, you only need to download and install the integration. You do not need to uninstall the old version, or install any other servers, such as the IBM Lotus Domino Server or the IBM Lotus Sametime Server.
